Procurement Assistant, DPS/CSS (Temporary)
Organizational Context
The International Trade Centre (ITC) aims to transform trade and change lives by enabling trade-led economic development, particularly in the Global South. This role is situated within the Procurement Services of the Central Support Services in the Division of Programme Support (DPS), which provides essential services to ITC's divisions to ensure efficient and compliant operations.
Job Purpose
The Procurement Assistant, under supervision, will manage and process purchasing requests, ensuring timely acquisition of goods and services. This involves reviewing requisitions, identifying vendors and funding, monitoring supplier performance, and coordinating logistics. The role also entails producing tender documents, preparing bid abstracts, finalizing purchase orders and contracts, and maintaining procurement records. The assistant will support more complex procurement operations, research market sources, and draft routine correspondence, contributing to the efficient delivery of ITC's mandate through effective procurement practices.
Responsibilities
Key duties include reviewing, recording, and prioritizing purchasing requests, verifying vendor availability and funding sources. The role involves monitoring requisitions, maintaining supplier contact for timely delivery, and coordinating shipments. Responsibilities extend to producing tender documents, preparing abstracts of offers, and identifying suppliers offering the best terms and lowest costs. The Procurement Assistant will finalize purchase orders and contracts for approval, potentially authorizing purchases within delegated authority and preparing submissions for the Contracts Committee. Support will be provided for complex purchasing operations, including document distribution and follow-up. Maintaining procurement databases, tracking agreements, and researching supply sources are also essential functions, alongside drafting routine correspondence.
Work Experience
A minimum of five years of experience in procurement, administrative services, or a related field is required. This can be reduced to three years if the candidate possesses a university degree. Experience within the UN common system and with ERP systems for procurement activities is desirable.
