Organizational Context
The Economic Commission for Latin America and the Caribbean (ECLAC) is a regional commission of the United Nations, established in 1948 to foster economic and social development in the region. Its mandate includes policy design, monitoring, evaluation, advisory services, and promoting regional cooperation. This Senior Staff Assistant role is situated within the Office of the Executive Secretary, reporting directly to the Executive Secretary.
Job Purpose
The Senior Staff Assistant provides comprehensive administrative and secretarial support directly to the Executive Secretary of the Economic Commission for Latin America and the Caribbean (ECLAC). This role is crucial for ensuring the efficient operation of the Executive Secretary's office by managing correspondence, communications, schedules, and confidential information. The incumbent will also supervise general service staff, coordinate with various divisions, and assist with data analysis and report preparation. This position contributes to the effective functioning of ECLAC's leadership by facilitating seamless communication, logistical support, and administrative processes, enabling the Executive Secretary to focus on strategic objectives and regional development initiatives.
Responsibilities
Provide guidance, training, and supervision to general service staff within the Executive Secretary's office, including performance input. Manage and screen all incoming correspondence and communications for the Executive Secretary, ensuring accuracy, proper approvals, and timely distribution. Handle all incoming calls and online communications with discretion, responding to inquiries or drafting responses. Independently manage complex information requests and diverse correspondence. Prepare, process, and classify confidential information. Provide direct support for the Executive Secretary's schedule and make travel arrangements. Maintain office files, records of speeches, presentations, and documents. Manage leave and attendance records for ECLAC Directors and the Executive Secretary's office staff. Ensure publications are up-to-date for distribution. Identify and resolve administrative issues. Coordinate extensively with internal divisions and liaise with team members. Attend meetings as required, gathering relevant information and documents. Assist with data collection, analysis, presentation preparation, and updating information materials like web pages.
Work Experience
A minimum of ten years of experience in administrative services, finance, accounting, audit, human resources, or a related field is required. This requirement is reduced to eight years for candidates with a first-level university degree. Experience in protocol matters is also required. Experience with high-level officials, in an international or governmental organization's executive office, and in data analytics is desirable.
