Job Purpose
The Staff Assistant provides comprehensive administrative and office management support to the Fiscal Affairs Unit, specifically assisting with the AECID 2024-2028 project. The position involves preparing and processing documents, responding to inquiries, maintaining schedules, and assisting with data analysis and presentation materials. Responsibilities
The Staff Assistant performs a full range of office management and administrative support functions, particularly for the fiscal component of the AECID 2024-2028 project, directly assisting a senior officer. Key duties include liaising with other units on programs and administrative matters, monitoring processes and schedules, and ensuring efficient information flow. Responsibilities also encompass preparing and processing confidential information, assisting in developing administrative systems, and coordinating service-wide activities, special projects, and events. The role involves orienting new staff, preparing meeting minutes, and monitoring follow-up actions. Additionally, the Staff Assistant handles correspondence, produces complex documents, performs quality control on outgoing materials, responds to information requests, and assists in preparing presentation materials. Administrative tasks include managing calendars, organizing meetings, processing travel and expense claims, and maintaining files and databases. Support for data collection, analysis, and visualization is also required.
Work Experience
Five years of general office support or related experience is required. This requirement is reduced to three years for candidates with a first-level university degree or higher. Experience in coordinating service-wide activities, special projects, and events is desirable, as is one year or more of experience in data analytics.
