Organizational Context
The United Nations Support Office in Haiti (UNSOH) provides support to the Gang Suppression Force, the UN Integrated Office in Haiti, the Haitian National Police, and the Haitian Armed Forces. UNSOH also delivers technical assistance to the Organization of American States. This position is within the Office of the Director of Mission Support in Port-au-Prince, reporting directly to the Director.
Job Purpose
This role serves as a key administrative support function within the Office of the Director of Mission Support (DMS) at the United Nations Support Office in Haiti (UNSOH). The incumbent will manage a wide range of administrative, human resources, and financial tasks to ensure the efficient operation of the DMS office. This includes coordinating human resource activities, assisting with budget preparation and monitoring, managing the Director's schedule and correspondence, and facilitating high-level visits and interactions. The position requires meticulous attention to detail, strong organizational skills, and the ability to liaise effectively with various internal and external stakeholders to support the mission's mandate and operational objectives.
Responsibilities
Manage the Director of Mission Support's calendar, appointments, meetings, and official correspondence. Coordinate high-level visits, protocol arrangements, and interactions with government officials, UN agencies, and donors. Organize mission travel, visas, security clearances, and briefing materials. Prepare, draft, format, and track correspondence, reports, and meeting notes. Ensure smooth administrative operations within the DMS office, liaising with HR, finance, and procurement units. Consolidate, review, and facilitate requests and submissions requiring the Director's attention. Monitor and follow up on action items, ensuring timely communication of decisions. Maintain confidential records and handle sensitive information discreetly. Coordinate guidance and supervision for staff in the area of responsibility. Assist in drafting agreements and contributions. Resolve administrative issues and coordinate extensively with service units and internal teams. Perform other related administrative duties as required.
Work Experience
A minimum of 8 years of progressive experience in administrative services, finance, accounting, human resources, or audit within the UN system or private sector is required, with 3 years at a supervisory level. Previous experience in the front office of a senior UN official and UN field mission experience or similar international field experience are also required. Experience in international operations in a post-conflict environment is desirable.
