Organizational Context
The Executive Office of the Secretary-General (EOSG) supports the Secretary-General's vision and policies, ensuring alignment across the UN system. It upholds high standards of efficiency, competence, and integrity. This role is within the Rule of Law Unit (ROLU) of EOSG, reporting to the Under-Secretary-General for Policy and the Chief of Unit.
Job Purpose
The Programme Management Assistant provides essential administrative, logistical, and secretarial support to the Chief and staff of the Rule of Law Unit within the Executive Office of the Secretary-General. This role is crucial for the efficient operation of the Unit, facilitating communication and coordination with various senior officials and stakeholders across the UN system. The assistant will manage correspondence, prepare documentation, support meeting preparations (including hybrid formats), and maintain information systems. They will also assist in digital communication efforts and event planning, ensuring the smooth flow of information and timely execution of tasks, thereby contributing to the Unit's overall objectives and the Secretary-General's priorities.
Responsibilities
Provide comprehensive administrative, logistical, and secretarial support to the Chief and Unit staff, including drafting correspondence for senior officials. Assist in preparing documentation for reports and responding to information requests. Manage stakeholder information using management information systems. Liaise with senior officials across the UN system on programmes and meetings. Support the organization of meetings, including technical arrangements for remote and hybrid formats. Convey directives and status updates, highlighting urgent matters. Ensure efficient information flow by processing correspondence, maintaining logs, and following up on actions. Coordinate task assignments within the Unit. Provide personal assistance to the Chief, managing calendars and travel arrangements. Assist with community management, including SharePoint pages and contact databases. Support digital communication and event planning processes.
Work Experience
A minimum of seven years of experience in administrative services, finance, accounting, audit, human resources, or a related field is required. Experience supporting senior officials is also required. Experience with Microsoft applications and SharePoint, as well as event planning, is desirable.
