Organizational Context
The International Residual Mechanism for Criminal Tribunals (IRMCT) in Arusha seeks a Mail And Pouch Assistant. This role is within the General Services Section, reporting to the Logistics Operations Officer. The position is for an individual contractor with an initial duration of three months, potentially extendable.
Job Purpose
The Mail And Pouch Assistant is responsible for the efficient processing, documentation, tracking, and distribution of all incoming and outgoing mail, pouch shipments, and courier deliveries. This role ensures the timely and secure delivery of official correspondence, including urgent and confidential items, to internal and external stakeholders. The position also provides crucial administrative support for travel document processing and staff tax registration, contributing to the smooth operational functioning of the IRMCT Arusha Branch. The incumbent will maintain accurate records and comply with all relevant mail and pouch regulations.
Responsibilities
Key duties include managing pouch dispatch documentation, distributing interoffice mail, and handling incoming and outgoing mail and express services. The role involves preparing destination tags, estimating pouch requirements, and maintaining daily pouch logs with details on pouches, weights, and destinations. Responsibilities extend to tracking all mail and pouch services, accurately recording received items, and signing for valuable shipments. The assistant will sort items for dispatch via pouch, mail, or contracted shippers, ensuring timely distribution of urgent mail and conference documents. Additionally, the role includes receiving and recording official, personal, and confidential mail and packages, and assisting in inspecting dispatched items for regulatory compliance. The position also supports travel document processing and staff tax registration assistance.
Work Experience
Requires a minimum of two years of experience in handling mail and pouch registry operations or related fields. Demonstrated experience in professional driving is essential, along with possession of a valid Category B driving license. Experience operating various vehicle categories is considered desirable.
