Team Assistant
Organizational Context
This position is based at the United Nations Interregional Crime and Justice Research Institute (UNICRI) in Turin, Italy. The role reports directly to the Programme Management Officer, contributing to the institute's mission and projects.
Job Purpose
The Team Assistant provides crucial administrative support for project implementation within UNICRI. This involves utilizing the Umoja ERP system for various administrative and financial functions, monitoring project timelines, and ensuring compliance with financial regulations. The role also entails drafting correspondence, preparing documents, managing administrative requests, maintaining records, and assisting with data collection and reporting to support project activities and knowledge management. The position is key to the smooth operational functioning of assigned projects and contributes to the overall efficiency of the institute.
Responsibilities
Provide comprehensive administrative assistance for project implementation, including extensive use of the Umoja ERP system. Monitor project processes, tasks, and schedules, verifying document accuracy and compliance with financial and budget requirements. Generate standard financial reports and work orders. Draft responses to routine correspondence and produce complex documents. Handle general administrative tasks such as reviewing vouchers, liaising with UNDP, arranging meetings, drafting Terms of Reference, managing grants, and processing administrative and financial requests. Maintain both paper and electronic files and databases. Assist in data collection, analysis, presentation, and reporting. Support the creation and updating of information materials like web pages and brochures. Perform other assigned duties.
Work Experience
A minimum of three years of relevant experience in administration, project support, finance, budget, or related operational functions is required. This can be reduced to one year with a first-level university degree. Experience with organizing events, grant management, financial monitoring, budget implementation, processing transactions, using ERP systems, and working within the UN or similar international organizations is desirable.
