Individual Contractor: Project Assistant for CREATE programme (Uganda)
Organizational Context
The International Trade Centre (ITC), a joint agency of the UN and WTO, aims to enhance the competitiveness of businesses in developing countries and achieve UN Sustainable Development Goals. This role is within the Women, Youth and Vulnerable Communities section, supporting the CREATE programme in Uganda, which focuses on skills development and financial inclusion for young women in the creative economy.
Job Purpose
The Project Assistant will provide essential technical and operational support to the CREATE programme in Uganda, ensuring effective implementation of project activities. This role is crucial for coordinating with stakeholders, managing administrative tasks, and contributing to the achievement of project objectives. The assistant will support the Programme Operations Lead and Project Manager in delivering project outcomes, including logistical arrangements, procurement processes, and documentation management, ultimately contributing to enhanced skills, financial inclusion, and entrepreneurial growth for young women in Uganda's creative sector.
Responsibilities
Provide comprehensive logistical support for meetings, events, and training activities, including venue arrangements, participant registration, and coordination with service providers. Assist in procurement processes by preparing Terms of Reference, identifying vendors, and reviewing quotations. Offer administrative support such as document filing, preparing registration lists, meeting minutes, and correspondence. Coordinate with partners for meetings and project activities, managing scheduling, reminders, and attendance. Support project staff and consultants by ensuring training materials are available and managing evaluation forms. Maintain the project documentation repository and support knowledge management. Assist in preparing activity-related documentation, including meeting notes and event reports. Provide general office support, respond to inquiries, and maintain an organized filing system. Support MoU retirement processes and assist in preparing DSA rosters.
Work Experience
A minimum of 3 years of experience in administrative, event logistics, and coordination roles is required. Experience with international development agencies, NGOs, or UN projects in Uganda or the region is advantageous. Proven experience in organizing meetings, trainings, workshops, or stakeholder events is necessary. Experience in documenting meeting proceedings and familiarity with procurement processes are desirable.
Skills
Ability to coordinate with partners and increase stakeholder outreach. High motivation and commitment. Computer literacy in MS Office (Word, Excel). Excellent oral and written English communication skills.
