Organizational Context
The United Nations Support Office in Haiti (UNSOH) provides crucial support to various Haitian entities and international organizations, including the Gang Suppression Force, BINUH, HNP, and OAS. This temporary role is situated within the Engineering Section in Santo Domingo, reporting to the Chief Engineer, and is integral to UNSOH's mission mandate.
Job Purpose
The Facilities Management Assistant is responsible for overseeing and coordinating day-to-day facilities management and maintenance activities for UNSOH premises, accommodation, offices, and support facilities. This includes managing contractors, planning and supervising repairs, renovations, and minor engineering works, ensuring efficient space utilization, and coordinating with various technical teams and mission clients. The role ensures the smooth operation and upkeep of all facilities, contributing directly to the mission's operational effectiveness and support functions. The incumbent will also assist in budget preparation, technical evaluations, and performance assessments related to facilities services and contracts.
Responsibilities
Supervise and coordinate all facilities management and maintenance operations, including contractor management, service delivery, and in-house team supervision. Oversee daily services for mission premises, accommodation, camps, and offices, encompassing maintenance, renovations, repairs, space management, and general camp support. Support the planning and execution of repair, maintenance, renovation, and minor engineering works across various building types and sites. Collaborate with electrical, HVAC, plumbing, power generation, water, wastewater, construction, and camp management teams to resolve facilities-related issues. Prepare recommendations for efficient space utilization and manage office and accommodation space planning. Review and approve work orders, interpret technical documents, and inspect work performed by contractors and in-house staff. Monitor contractor performance, address deficiencies, and ensure services align with client needs and operational requirements. Assist in cost estimations, technical evaluations of bids, and preparation of requisitions for materials and services. Maintain comprehensive records of facilities activities and support the development of standard operating procedures.
Work Experience
A minimum of eight years of progressive experience in facilities management, building maintenance, or related fields is required, including at least two years of supervisory experience. Experience in planning and supervising minor engineering works, managing outsourced contractors, and working in international field operations is essential. Experience in camp or accommodation management and contract performance evaluation is desirable.
