Organizational Context

Job Purpose
This internship aims to provide administrative support to various sections within the UN-Habitat Mesoamerica office, ensuring the smooth day-to-day functioning of operations. The intern will contribute to key administrative tasks, including human resources support for onboarding, financial document management, procurement assistance, asset control, and logistics for events. This role offers a practical learning experience in administrative processes within an international organization, contributing directly to the office's operational efficiency and the achievement of UN-Habitat's mandate in promoting sustainable urbanization.
Responsibilities
Provide comprehensive general administrative support across all operational areas as needed. Assist the Human Resources team with onboarding processes for affiliated personnel and review supporting documentation. Support the filing of financial documents and track routine administrative transactions to ensure record completeness. Aid in preparing procurement comparative charts, coordinating with vendors, and monitoring procurement activities. Assist with office asset management, including coordinating maintenance and service requests, and provide logistical support for conferences and events. Support protocol-related activities, such as coordinating with the Ministry of Foreign Affairs. Help organize meetings, events, and official activities. Maintain organized electronic and physical filing systems and prepare drafts of reports, presentations, and correspondence as required.
Work Experience
No professional work experience is required for this internship. However, a field of study closely related to the internship is necessary. Knowledge of administration processes and project implementation is considered desirable.
Skills
Proficiency in standard software applications (Microsoft Office Suite, SharePoint, Canva, MS Teams). Strong organizational and filing skills. Ability to support HR onboarding and documentation. Experience with financial document management and tracking transactions. Competence in procurement process support and vendor coordination. Skills in asset management and logistics coordination. Ability to assist with event organization and protocol activities. Excellent communication and interpersonal skills for interacting with diverse cultural backgrounds. Keen interest in the work of the United Nations and commitment to its ideals.
