Organizational Context
This Human Resources Assistant position is based in Damascus, Syrian Arab Republic, within the Office of the Special Envoy of the Secretary-General for Syria. The role operates within the Human Resources Management Unit and reports directly to the Chief Human Resources Officer, supporting the HR functions for the office.
Job Purpose
The Human Resources Assistant plays a crucial role in supporting the efficient operation of the Human Resources Management Unit. This position is responsible for a wide range of HR administrative tasks, including recruitment and placement processes, managing staff entitlements and benefits, and providing administrative support for training and classification activities. The incumbent ensures accurate HR data maintenance, assists with reporting, and provides essential support to staff and management, contributing to the overall effectiveness of HR service delivery within the office. The role also involves advising staff on HR-related matters and maintaining HR systems.
Responsibilities
Key responsibilities include managing recruitment processes such as screening applications, conducting preliminary interviews, and facilitating the hiring of candidates for various positions. The role involves administering staff entitlements and benefits, guiding staff on education grants, and ensuring accurate data maintenance in HR systems like UMOJA. Additionally, the Human Resources Assistant provides logistical and administrative support for training initiatives, assists with classification requests, and conducts exit interviews. General duties encompass maintaining HR records, preparing reports, processing correspondence, supporting performance management, monitoring attendance and leave, and managing staffing table updates and appointment extensions. The position also involves training junior staff and assisting with data analysis and presentation.
Work Experience
A minimum of seven years of progressively responsible experience in human resources management or administrative services is required. This can be reduced to five years with a first-level university degree. Experience with ERP systems like UMOJA and INSPIRA for recruitment is desirable.
