Programme Management Assistant
Organizational Context
This Programme Management Assistant position is within the Secretariat of the Administrative and Budgetary (Fifth) Committee and the Committee for Programme and Coordination (CPC), part of the Department of Management Strategy, Policy and Compliance. The role reports to the Intergovernmental Affairs Officer, under the overall supervision of the Secretary of the Fifth Committee and CPC.
Job Purpose
The Programme Management Assistant provides crucial support for the planning, implementation, and follow-up of activities related to the Fifth Committee and CPC. This involves assisting in team coordination, programme/project planning, and monitoring proposals to ensure timely submission and approval. The role supports the preparation of meeting-related communications, including Journal announcements and procedural notes. Additionally, the Assistant researches and analyzes programme data, assists in report preparation and clearance, and collaborates on performance reporting and survey initiatives. Maintaining databases, generating reports, and updating committee websites are key functions. The position also involves drafting correspondence, responding to inquiries, and facilitating administrative actions for project implementation, ensuring smooth operations and effective support for the committees' mandates.
Responsibilities
Provide assistance for planning, implementation, and follow-up of activities for the Fifth Committee and CPC. Coordinate team activities and programme/project planning, monitoring proposals for timely submission and approval. Assist in preparing meeting communications, including Journal announcements, work programs, and procedural notes. Research, compile, analyze, and present programme/project data. Support the preparation, clearance, and publication of committee reports in multiple languages. Collaborate on performance reporting and survey initiatives, ensuring data accuracy. Maintain electronic and paper files, databases, and generate reports. Update committee websites. Draft correspondence related to programme administration, work plans, and budgets. Respond to information requests and provide research support. Assist in arranging virtual meetings and communications. Serve as a focal point for administrative actions and issue resolution for project implementation, including recruitment, travel, payments, and procurement. Perform other assigned duties.
Work Experience
A minimum of seven years of experience in programme or project administration, technical cooperation, or a related field is required. This requirement is reduced to five years for candidates with a first-level university degree or higher. Experience with UN conference policies and procedures, and website development/maintenance, is desirable.
