Organizational Context
This position is within the News & Media Division of the Department of Global Communications (DGC) in New Delhi. The Team Assistant (Hindi Project) reports to a Chief of Section or Senior Programme Officer. The role supports the expansion of multilingual communications and outreach to Hindi-speaking audiences.
Job Purpose
The Team Assistant (Hindi Project) provides essential office support and administrative functions for communication activities under the Hindi Language Project. This includes drafting correspondence, managing documents, conducting research for news stories and communication products targeting Hindi-speaking audiences, and proofreading/editing content. The role also involves providing secretarial and logistical support for meetings, events, and campaigns, maintaining project databases and websites, and assisting with basic language adaptation of materials. Additionally, the position supports the preparation of presentations, manages schedules, handles data entry, processes mail, and assists in monitoring media coverage and updating communication materials, contributing to effective outreach and information dissemination.
Responsibilities
Perform a wide range of office support and administrative functions for the Hindi Language Project's communication activities. Draft and respond to routine correspondence, producing complex documents and reports using standard word processing software. Monitor processes and schedules, verifying document accuracy and compliance. Conduct basic research and compile background information to support news stories and communication products for Hindi-speaking audiences. Proofread and edit communication materials, including news stories, web content, and social media posts, ensuring accuracy and adherence to editorial standards. Provide secretarial, administrative, and logistical support for meetings, outreach events, and campaigns, liaising with relevant UN News teams. Assist in website maintenance by posting documents. Support the preparation and basic language adaptation of communication materials and translation activities. Prepare presentation materials. Maintain calendars and schedules, communicating changes to staff. Perform data entry and extraction. Process mail and follow up on actions. Update and maintain communication databases, editorial calendars, and digital records. Handle arrangements for printing, translation, and distribution. Perform general administrative tasks, including preparing requisitions, purchase orders, and travel requests. Maintain project files and databases. Provide software and equipment support. Offer guidance to less experienced staff. Assist in monitoring media coverage and social media, preparing summaries and reports. Update communication materials and web pages. Perform other assigned duties.
Work Experience
A minimum of three years of relevant professional experience in communications is required. This is reduced to one year for candidates with a first-level university degree or higher. Desirable experience includes digital content support, social media support, media monitoring or research, supporting communications campaigns, and working within the UN Common System or similar large organizations.
