Organizational Context
This position is within the News & Media Division of the Department of Global Communications (DGC) in New York. The Team Assistant (Hindi Project) will support the expansion of multilingual communications and strengthen outreach to Hindi-speaking audiences, reporting to a Chief of Section or Senior Programme Officer.
Job Purpose
The Team Assistant (Hindi Project) provides essential office support and administrative functions for communication activities under the Hindi Language Project. This includes drafting correspondence, producing complex documents, monitoring project schedules, and conducting basic research to support news stories and communication products for Hindi-speaking audiences. The role involves proofreading and editing content for accuracy and adherence to standards, providing logistical support for events, maintaining websites, and assisting with the preparation of presentation materials. Additionally, the position involves managing calendars, data entry, processing mail, updating databases and records, and performing general administrative tasks such as preparing requisitions and travel requests.
Responsibilities
The Team Assistant performs a wide range of office support and administrative functions for the Hindi Language Project's communication activities. Key duties include responding to correspondence, producing documents, and monitoring project outputs and schedules. The role involves verifying document accuracy and compliance, conducting research, and maintaining reference materials for news stories and communication products. Responsibilities extend to proofreading and editing content for various platforms, providing secretarial and logistical support for meetings and events, and assisting with website maintenance. The position also supports the preparation of communication materials, presentation materials, and translation-related activities. Maintaining calendars, performing data entry, processing mail, updating databases, and managing files are crucial. General administrative tasks include handling requisitions, purchase orders, travel requests, and budget follow-up.
Work Experience
A minimum of three years of relevant professional experience in communications is required. This is reduced to one year for candidates with a first-level university degree or higher. Experience in social media support, media monitoring, research, and supporting communication campaigns or outreach initiatives is desirable.
Skills
Professionalism, communication (clear and effective speaking/writing), and teamwork (collaboration, valuing input, supporting group decisions) are essential competencies for this role.
