Organizational Context
This position is within the Russian Text-Processing Unit of the Russian Translation Service, Documentation Division, Department of General Assembly and Conference Management (DGACM) at UN Headquarters in New York. The Division supports intergovernmental bodies by providing efficient conference services and ensuring multilingual communication. The incumbent reports to the Supervisor of the Russian Text-Processing Unit.
Job Purpose
The Language and Desktop Publishing Assistant is responsible for performing a range of desktop publishing and proofreading tasks to support the efficient processing and dissemination of documents. This includes formatting documents, creating graphics, incorporating corrections, and checking translated texts against previous versions. The role also involves assisting with work distribution, monitoring progress, and ensuring smooth electronic transmission of documentation. Additionally, the incumbent will align bi-texts for translation memory production, train junior staff, manage document registration, and contribute to data analysis and reporting. The position requires effective collaboration, administrative support, and the ability to adapt to evolving workflows and technologies, including macros and new software.
Responsibilities
Perform comprehensive desktop publishing, including formatting, correction incorporation, and creation of tables, graphics, and organization charts according to guidelines. Conduct proofreading by comparing successive versions of edited and translated documents. Assist in work distribution, progress monitoring, and ensuring efficient electronic document transmission. Compile and scope final documents and align bi-texts to support translation memory production. Undertake modified desktop publishing tasks based on workflow reviews and train temporary and junior staff. Input data, assist in analysis, and prepare presentations and reports. Register and process incoming/outgoing documents, record assignments, and store final texts. Collaborate on office management and administrative support functions, respond to staff queries, and maintain records. Support automation efforts by identifying repetitive tasks for macros, updating templates, and participating in macro testing. Submit technical issues to the helpdesk and work effectively in diverse team settings. Perform cross-assignments for language support functions and provide desktop publishing and proofreading services for major UN bodies as needed.
Work Experience
A minimum of five years of experience in desktop publishing, including typing, copy editing, formatting, proofreading, and creating typographical layouts, is required. Experience with UN documentation processes is desirable. Experience in data analytics and creating/editing charts in MS Excel and PowerPoint is also desirable.
