Organizational Context
The Economic Commission for Latin America and the Caribbean (ECLAC), a regional commission of the United Nations, aims to contribute to the economic and social development of the region. This Team Assistant role is within the Division of Production, Productivity and Management, supporting the Platform on Cluster Initiatives and other Productive Coordination Initiatives. The position reports to the Coordinator of the Productive Territorial Development and Governance Unit.
Job Purpose
The Team Assistant provides essential general office support to ensure the smooth functioning of the Division of Production, Productivity and Management, with a specific focus on managing and disseminating information for the Platform on Cluster Initiatives (PCI). This involves producing various documents, maintaining schedules, processing correspondence, managing files and databases, and supporting the dissemination of information materials. The role also assists in data entry, analysis, and the preparation of presentations and reports, contributing to effective knowledge management, planning, and decision-making within the unit. The incumbent will handle routine inquiries and administrative tasks, ensuring efficient operations and timely communication.
Responsibilities
Provide comprehensive general office support to ensure the efficient operation of the Division, particularly in managing and disseminating PCI Platform information. Produce routine correspondence, reports, newsletters, tables, charts, and graphs using standard word processing software, ensuring accuracy and adherence to institutional standards. Proofread documents for completeness and grammatical correctness. Maintain and update calendars and schedules, communicating relevant changes to staff. Process incoming and outgoing mail, gather background materials, and track follow-up actions. Respond to routine inquiries from phone calls and visitors, drafting written responses or routing them as needed. Maintain paper and electronic files and databases. Update distribution lists and assemble documents for dissemination, coordinating courier services. Perform basic data entry and extraction, focusing on refining PCI Platform registration data. Support the dissemination of newsletters, informative notes, flyers, and videos related to the PCI platform. Verify the accuracy of simple calculations and data. Perform administrative duties such as recording leave, organizing meetings, making reservations, and ordering supplies. Process administrative requests and documents, including travel requests and expense claims. Assist with data collection, analysis, and preparation of presentations and reports for information sharing and decision-making. Update information materials such as web pages and brochures.
Work Experience
A minimum of two years of experience in general office support or a related area is required. This requirement is reduced to zero years for candidates holding a first-level university degree or higher. Experience in managing communication strategies for business programs and projects, and experience in data analytics, are considered desirable.
