The United Nations Office for Disaster Risk Reduction (UNDRR) is the UN system's focal point for coordinating disaster reduction efforts and ensuring synergies among global activities. It guides, monitors, and reports on the Sendai Framework, supporting its implementation and raising awareness. This role supports a key workshop organized by UNDRR.
Job Purpose
This role is to provide dedicated Event Support Personnel to assist with the coordination, logistics, and on-site implementation of the West Africa Disaster Preparedness ECHO and Partners Workshop. The Event Planner will support the end-to-end delivery of the event, ensuring effective organization and management. This includes contributing to the conceptualization, detailed planning, logistical coordination, on-site implementation, and post-event reporting, working under the supervision of the External Relations Officer and in close collaboration with venue and service providers to ensure a successful and impactful workshop for approximately 200 participants.
Responsibilities
The Event Planner will be responsible for supporting the overall design and approach of the workshop, including engagement methodology and thematic flow. Key duties involve developing the detailed agenda and run of show, coordinating with speakers, facilitators, and panelists, and preparing event materials, branding, and signage. The role includes managing participant registration processes and communication materials, and supporting the allocation of roles within the organizing team. Logistical responsibilities encompass coordinating conference setup, AV, interpretation services, and exhibition space, as well as identifying and managing service providers. On-site, the planner will manage registration, room setups, troubleshoot operational issues, support participants and speakers, and oversee the exhibition area. Post-event, responsibilities include supporting close-out activities and compiling a consolidated report.
Work Experience
A minimum of three years of demonstrated leadership in high-level meetings and event planning is required. Experience with hybrid meeting/event technologies and supporting complex events at scale is necessary. Experience working with international organizations or the UN is desirable.
