SENIOR ADMINISTRATIVE ASSISTANT (Temporary)
Organizational Context
The International Court of Justice (ICJ), the UN's principal judicial organ, operates independently of the UN Secretariat. Its administration, the Registry, provides judicial and administrative support. This temporary Senior Administrative Assistant role is within the Registry's Administrative and Personnel Division, reporting to the Head of Division, and supports the Court's judicial functions.
Job Purpose
The Senior Administrative Assistant provides crucial administrative and protocol support to the International Court of Justice's Registry, specifically within the Administrative and Personnel Division. This role is essential for facilitating the smooth operation of the Court by managing host country protocol matters, assisting with human resources functions including recruitment and onboarding, and handling various general administrative tasks. The position ensures that Judges and staff receive timely support for their administrative needs, including visa processing, permits, and local integration, thereby contributing to the Court's overall efficiency and effectiveness in its judicial and advisory capacities.
Responsibilities
Manage host country protocol matters, liaising with Dutch authorities and embassies to process applications for identity cards, visas, permits, and privileges for Court personnel and their families. Provide guidance on local conditions and maintain contact lists. Support Human Resources functions by assisting in recruitment processes, onboarding new staff, and managing check-out procedures. Draft official correspondence, memos, contracts, and broadcast messages. Act as a requisitioner in the Umoja system and maintain APD filing systems. Monitor service portals and mailboxes to ensure timely responses to queries. Assist in compiling information for reports, newsletters, and intranet updates, and support the organization of APD meetings and events.
Work Experience
A minimum of 10 years of administrative experience, with a focus on formal correspondence and record maintenance, is required (8 years with a university degree). Experience in protocol services and/or diplomatic communication is essential. Proficiency in office applications (MS Word, Outlook, Excel, PowerPoint) is required. Experience with ERP systems and within an international organization like the UN is desirable.
