Organizational Context
The position is within the Maintenance Management Group, Central Support Services, Administration Division at the United Nations Office at Geneva. This unit is responsible for the maintenance and operational support of facilities and infrastructure.
Job Purpose
This role supports the Plumbing & HVAC Sub-unit within the Maintenance Management Group. The incumbent will supervise and plan internal team activities, organize operational schedules, and utilize the Computerized Maintenance Management System (CMMS) for planning, tracking, and documenting interventions. Key responsibilities include contributing to technical specifications, managing contracts and budgets, overseeing external service providers, handling administrative tasks, and managing logistics for the sub-unit. The role also involves coordinating with other sub-units and internal services, ensuring the smooth operation and maintenance of facilities.
Responsibilities
Supervise and plan internal team activities, including rounds, troubleshooting, and interventions. Organize and adjust weekly and monthly operational schedules. Utilize CMMS for planning, tracking, and documenting maintenance activities, ensuring data accuracy. Contribute to the development of technical specifications and reports. Manage contractual and budgetary aspects, including SLAs, KPIs, deadlines, invoices, and payments. Monitor the performance of external service providers and report on their activities. Handle administrative tasks such as access authorizations, archiving, correspondence, and reports. Oversee sub-unit logistics, including stock management, orders, delivery tracking, and dispute resolution. Facilitate communication with suppliers, service providers, and internal departments. Implement periodic maintenance programs, potentially with external providers. Plan and supervise maintenance, repairs, renovations, and commissioning of new installations. Drive technical improvements related to wear, new needs, or technological advancements. Control the conformity of preventive and curative maintenance services provided by contractors. Archive and update technical documentation. Coordinate interventions with other sub-units, internal services, and clients. Manage preventive maintenance and troubleshooting planning via CMMS, including closing work orders. Consolidate and archive inspection records for HVAC, sanitary, refrigeration, and energy/water/gas/fuel meters. Analyze and report collected data. Participate in the creation and updating of operational, troubleshooting, and maintenance procedures. Collaborate with mechanics to resolve technical issues.
Work Experience
A minimum of 7 years of experience in heating, plumbing, mechanical, and ventilation/air conditioning is mandatory. This is reduced to 5 years for candidates with a bachelor's degree or higher. Experience in maintenance contract management, resource planning and organization, and financial follow-up is required. Experience in managing thermal installations, air conditioning, refrigeration, and sanitary systems in complex sites is desirable.
