Organizational Context
The Economic and Social Commission for Western Asia (ESCWA), part of the UN Secretariat, supports 21 Arab member countries in Western Asia and North Africa. It facilitates policy harmonization, coordination, knowledge sharing, and information observation. The ESCWA Technology Centre (ETC) in Amman operates under ESCWA's mandate. This Programme Management Assistant role reports directly to the ETC Chief.
Job Purpose
The Programme Management Assistant supports the ESCWA Technology Centre (ETC) in Amman by assisting in the coordination and administration of programme and project initiatives, including events like the Arab SMEs Summit. The role involves monitoring project proposals, reviewing documentation for compliance, and managing budget revisions. A key function is serving as an administrative focal point for programme implementation, liaising with various units to facilitate actions such as personnel recruitment, travel arrangements, payments, and procurement. The position also contributes to data analysis for ETC platforms, preparation of reports, and general office support, ensuring smooth operational execution and information dissemination.
Responsibilities
Assists in coordinating programme and project planning and preparation, monitoring proposals, and reviewing documentation for compliance. Compiles and presents data on specific programmes and projects. Reviews project documents, cost plans, and budgets, ensuring adherence to rules and procedures, and distributing approved documents. Manages budget revisions, verifies fund availability, and ensures proper system entry. Acts as a liaison for administrative coordination of programme implementation, processing actions like personnel appointments, travel, payments, and procurement. Compiles project delivery data, drafts status reports, and identifies issues like shortfalls or budget overruns. Drafts correspondence on budget matters and prepares periodic reports, briefing notes, and summaries. Provides general office assistance, handles inquiries, manages correspondence and files, and organizes meetings. Supports data collection and analysis for ETC platforms (DEPAR, ACM), preparing presentations and reports. Assists with visualizations and updating information materials. Performs other assigned duties.
Work Experience
Five years of experience in programme or project administration, technical cooperation, or event planning is required. This requirement is reduced to three years for candidates with a first-level university degree or higher. One year or more of experience in data analytics is desirable.
