Organizational Context
The Universal Postal Union (UPU), a specialized agency of the United Nations with 192 member countries, serves as the primary forum for cooperation within the postal sector. It aims to ensure a universal network of up-to-date postal products and services. This role is within the General Service category and is a part-time (50%) position.
Job Purpose
This role provides essential administrative assistance and support to the DOP.EPSI Director, focusing on physical services development and e-commerce integration activities. The position involves managing and drafting website content, supporting research and studies on e-commerce and physical services by capturing data and disseminating results, and performing day-to-day administrative tasks for EPSI programmes. Additionally, the role assists in organizing expert team meetings for the Postal Operations Council (POC) relevant to EPSI programmes, including document formatting, dissemination, and ensuring timely communication. General administrative duties such as organizing meetings and making travel arrangements are also key functions, contributing to the overall efficiency and success of the EPSI programmes.
Responsibilities
Provide administrative assistance and support for physical services development and e-commerce integration activities under the guidance of the DOP.EPSI Director. This includes assisting the Director with administrative tasks and managing/drafting content for the UPU website related to EPSI programmes. Support research, studies, and surveys on e-commerce and physical services by managing data capture via online tools and disseminating results in various formats. Perform day-to-day administrative tasks for EPSI programmes, including manual and electronic filing of project documents. Organize internal and external meetings, including room reservations, invitations, and document preparation. Make travel arrangements, including authorizations, bookings, visa processing, and liaising with the Finance Directorate on travel budgets. Assist in organizing POC expert team meetings by formatting and disseminating documents in multiple languages within deadlines and sending out invitations with necessary information.
Work Experience
A minimum of three years of experience as an assistant is required. Experience working in an international environment is considered desirable.
