Job Purpose
This Associate Administrative Officer role is crucial for supporting UNRWA's administrative and human resources functions. The position involves coordinating essential processes for staff management, personnel records, and employment details, including processing payments for daily paid staff and facilitating recruitment activities with the Human Resources Department. The role also manages operational and project budgets, monitors expenditures, handles financial transactions, and prepares financial reports. Additionally, it oversees procurement, manages office supplies, IT equipment, and logistical operations, ensuring the efficient functioning of the department. The incumbent will also analyze data, prepare reports, and organize meetings and events, contributing to the overall operational efficiency and effectiveness of the agency's administrative support services.
Responsibilities
Key responsibilities include coordinating human resources and administrative management, such as staff management, personnel records, and attendance tracking. This involves processing employment requests, managing daily paid staff payments, and supporting recruitment processes like drafting job descriptions and coordinating interviews. The role also entails managing office and project budgets, monitoring expenditures, controlling financial transactions, and preparing financial reports. Procurement activities, including tendering and purchasing, maintaining inventory, and managing IT equipment and furniture, are also core duties. Furthermore, the position involves overseeing logistical operations, conducting facility inspections, analyzing statistical data, responding to administrative correspondence, and preparing operational reports. A significant aspect is managing and supervising a team of administrative and general services assistants, providing guidance, assigning tasks, and ensuring efficient workflow and performance.
Work Experience
A minimum of three years of experience in administrative work, human resources, and/or office management is required. A first university degree in business administration, finance, procurement, or a related field is also necessary. Candidates with additional relevant qualifications or experience may be considered on an equivalency basis.
