Job Purpose
The Procurement Assistant plays a vital role within UNRWA's Field Logistics and Procurement Department, directly contributing to the Agency's mandate of providing essential assistance and protection to Palestine refugees. This position is crucial for ensuring the efficient and compliant execution of procurement and contracting processes, which underpin all UNRWA services, including education, health care, and emergency aid. The incumbent's primary purpose is to support the entire procurement lifecycle, from requirement receipt and requisition consolidation to supplier engagement and order follow-up. By meticulously maintaining records, preparing bidding documents, and facilitating communication with contractors, the Procurement Assistant ensures transparency, accuracy, and timeliness in acquiring necessary goods and services. This role is fundamental in enabling UNRWA to effectively deliver its humanitarian and development programs to vulnerable communities in the West Bank, upholding operational continuity and resource stewardship.
Responsibilities
The Procurement Assistant is responsible for diligently following up on the entire procurement and contracting process, from the initial receipt of requirements and monitoring requisition accuracy to consolidating purchase requisitions and preparing data for bidding. This includes maintaining standard documents for purchase order submissions, acknowledgements, due dates, and deliveries. The role involves updating procurement requisition records, assisting the supervisor in preparing contract documentation, and regularly contacting contractors for updated information. The incumbent will also initiate requests for quality control reports and report any discrepancies. Key duties include assisting in the submission of RFQ, Tender, and RFP documents to suppliers, distributing Purchase Order copies, and maintaining a register for outstanding orders and requisitions, ensuring timely follow-up with suppliers and field offices. Furthermore, the Assistant distributes materials, photocopies offers for end-users, manages samples for inspection and reference, and drafts and types related correspondence, maintaining accurate records. The role also encompasses performing other duties as assigned by the supervisor.
Work Experience
A minimum of three years of clerical experience specifically in procurement and logistics is required for this position. Applicants must also disclose any current involvement in outside activities, as this is a mandatory requirement for consideration.
