Organizational Context
The United Nations Environment Programme (UNEP) provides administrative functions for the Convention on Migratory Species (CMS) and its associated agreements (AEWA, EUROBATS). The CMS Secretariat, co-located with these agreements in Bonn, supports global conservation efforts for migratory species. This role supports the Conference Service Team.
Job Purpose
This consultancy aims to provide essential secretarial, administrative, and general team assistant functions to the CMS Conference Service Team. The primary objective is to ensure the effective servicing of CMS meetings, with a focus on post-COP15 related tasks and supporting the planning and coordination of upcoming meetings scheduled for Q4 2026. The role contributes to the smooth logistical and administrative operations necessary for successful international environmental conferences, ensuring continuity and efficient support for participants and staff.
Responsibilities
Provide logistical and administrative support for the Conference Service Team, focusing on post-COP15 tasks and planning for Q4 2026 meetings. Respond to inquiries from participants and staff, and maintain meeting registration lists. Liaise with the Conference Services Unit and other staff on technical and logistical arrangements. Prepare official documents, including invitations and draft participant lists. Assist with shipping meeting materials to venues. Provide travel and visa support to delegates, communicating with them and travel agents. Format and post meeting documents. Report to the Legal Officer and Head of Conference Services.
Work Experience
A minimum of 2 years of experience in general office support, meeting support, or a related area is required. Experience in conference support or a similar field is considered desirable. Proficiency in MS Office Suite is essential.
Skills
Excellent writing and drafting skills. Excellent knowledge of MS Office (Word, Excel, MS Project, PowerPoint). Strong organizational and administrative skills. Experience in office support and meeting coordination. Ability to communicate effectively with international delegates and staff.
