DESKTOP PUBLISHING ASSISTANT (Spanish)
Organizational Context
This temporary position is within the Meetings Support Section of the Department for General Assembly and Conference Management (DGACM) at the UN Secretariat. The section is part of the Meetings and Publishing Division. The Desktop Publishing Assistant reports to the Project Manager of the Digitization Project, contributing to the digitization efforts.
Job Purpose
The Desktop Publishing Assistant is responsible for scanning documents and performing quality control on digitized Spanish language files and metadata. This includes ensuring accuracy, completeness, and adherence to UN style and typographic standards before and after ingestion into the content management system. The role involves applying metadata entry rules, researching information from various sources, managing files within the publishing system, and ensuring correct submission of outgoing documents in the respective language. The position supports the digitization project by maintaining the integrity and quality of digital content.
Responsibilities
Key duties include scanning documents and conducting thorough quality control of all digitized Spanish language files and associated metadata. This ensures accuracy and completeness, verifying conformity to UN style and typographic standards before and after system ingestion. The role requires using desktop publishing software to apply standard metadata entry rules and researching information from primary and secondary sources when needed. Additionally, the assistant will manage file check-in/check-out within the publishing system database and ensure outgoing documents are correctly submitted in Spanish. Other related tasks as required are also part of the responsibilities.
Work Experience
A minimum of five years of experience in organizing and researching documentation for reference or filing is required. Experience with paper records digitization using professional scanners and related software is desirable. Working knowledge of Adobe Acrobat DC is also desirable.
