FINANCE ASSISTANT
Organizational Context
This Finance Assistant position is based in Bangkok within the Payments Unit of the Finance Section, Financial Resources Management Service, Division of Administration, at the United Nations Office at Geneva. The role reports directly to the Chief of Unit, contributing to the financial operations of the organization.
Job Purpose
The Finance Assistant plays a crucial role in supporting the Payments Unit by processing various financial transactions. This includes managing payments due by the Organization, settling staff entitlements, and processing payment requests for goods and services, ensuring strict adherence to all relevant rules, instructions, and proper documentation. The incumbent also handles travel claims, reviews outgoing financial authorizations, and processes incoming Inter-Office Vouchers from UNDP country offices. Additionally, the role involves reviewing supporting documents for Fund Commitments received from other offices, all under the supervision of the Chief of Unit, to ensure efficient and compliant financial operations.
Responsibilities
The Finance Assistant is responsible for processing payments for the Organization and settling staff entitlements. This includes managing payment requests for goods and services, verifying compliance with rules, instructions, and documentation. The role also involves processing travel claims in accordance with authorizations and regulations. Furthermore, the incumbent reviews and processes outgoing financial authorizations and incoming Inter-Office Vouchers from UNDP country offices, submitting necessary Umoja documents for approval. A key duty is reviewing supporting documents for Fund Commitments from other offices before submission to the Finance Officer for approval, ensuring accuracy and adherence to financial procedures.
Work Experience
A minimum of three years of relevant experience in finance or accounting is required. This requirement is reduced to one year for candidates with a university degree. Experience within the UN Common System or a similar international organization is desirable, as is experience with ERP finance modules like Umoja (SAP).
