Organizational Context
The Economic Commission for Latin America and the Caribbean (ECLAC), a regional commission of the United Nations, aims to foster economic and social development in the region. This role is within the Programme, Planning and Operations Division, reporting to officers within the Division, and contributes to the commission's mission of policy design, monitoring, and advisory services.
Job Purpose
The Team Assistant will provide comprehensive office support and administrative functions within the Programme, Planning and Operations Division of ECLAC. This role is crucial for ensuring the smooth operation of the division by managing correspondence, documents, schedules, and information resources. The incumbent will support the preparation of reports, presentations, and meetings, handle data entry and extraction, and maintain essential records and databases. By performing these duties efficiently, the Team Assistant directly contributes to the division's ability to deliver on its objectives related to policy development, advisory services, and regional cooperation, ensuring compliance with relevant requirements and facilitating effective communication and operations.
Responsibilities
The Team Assistant is responsible for a broad range of office support and administrative functions. This includes drafting and responding to correspondence, producing complex documents and reports using standard software, and monitoring unit processes and schedules. The role involves verifying the accuracy and compliance of documents, researching and compiling information for reports and meetings, and generating statistical reports. Key duties also encompass proofreading and editing texts, screening calls and visitors, and responding to information requests. The position provides secretarial, administrative, and logistics support for meetings and events, assists with presentation materials, and manages calendars and schedules. Additionally, the Team Assistant performs data entry and extraction, processes mail, maintains files and databases, and assists with data collection, analysis, and visualization for reporting and decision-making.
Work Experience
A minimum of three years of experience in project management or general office support is required. This requirement is reduced to one year for candidates with a first-level university degree. Experience in an international organization, using ERP systems like SAP, and in data analytics is desirable.
