Organizational Context

Job Purpose
The Team Assistant provides essential administrative and logistical support for project activities, specifically for the "TOPP" project aimed at strengthening public sector capabilities in Latin America and the Caribbean for critical minerals development. This role is crucial for the smooth functioning of the organizational unit by managing schedules, processing correspondence and documents, maintaining records, and handling routine inquiries. The position contributes to efficient project implementation, information sharing, and overall operational effectiveness within the Division of Natural Resources, reporting directly to the Officer-in-Charge.
Responsibilities
Provide administrative and logistical support for project activities, including documentation preparation, editing, and formatting of reports and presentations. Offer general office support to ensure smooth unit operations, manage calendars and schedules, and communicate changes. Process incoming and outgoing mail, gather background materials, and track follow-up actions. Respond to routine inquiries from phone calls and visitors, drafting responses or routing as needed. Maintain paper and electronic files and databases. Update distribution lists and assemble materials for dissemination. Perform basic data entry and extraction. Handle various administrative duties such as leave recording, meeting organization, reservations, and processing administrative requests like travel and expense claims. Operate office equipment and assist with data collection, analysis, and preparation of presentations and reports.
Work Experience
A minimum of two years of general office support or related experience is required. This requirement is reduced to zero years for candidates with a first-level university degree or higher. One year or more of experience in data analytics is desirable.
