Organizational Context
This position is within the UN Human Rights Training and Documentation Centre for South-West Asia and Arab Region (UNTDC), part of the Office of the High Commissioner for Human Rights (OHCHR), located in Doha, Qatar. The Team Assistant reports to the Administrative Associate and collaborates with Centre staff, OHCHR, other UN personnel, and external stakeholders to ensure effective service delivery.
Job Purpose
The Team Assistant provides comprehensive office support and administrative functions to the UN Human Rights Training and Documentation Centre. This role involves managing correspondence, producing complex documents, monitoring processes, and organizing information to support reports and meetings. The position requires maintaining schedules, handling data entry, processing mail, and managing distribution lists. Additionally, the Team Assistant supports website maintenance, prepares presentation materials, and assists with digital content creation for the Centre's platforms. The role also includes providing basic IT support, troubleshooting, and guiding less experienced staff, contributing to the overall efficiency and operational effectiveness of the Centre.
Responsibilities
Perform a wide range of office support and administrative functions, including managing correspondence and producing complex documents. Monitor unit processes and schedules, verifying document accuracy and compliance. Research, compile, and organize information for reports, work plans, and meetings. Generate statistical reports and proofread/edit documents for accuracy and adherence to standards. Screen calls and visitors, respond to inquiries, and provide secretarial, administrative, and logistics support for meetings and events. Assist with website maintenance, presentation material preparation, and data entry. Manage calendars, process mail, update distribution lists, and coordinate shipments. Handle general administrative tasks such as leave recording, reservations, and budget follow-up, including processing administrative requests. Maintain files and databases, and provide basic software, hardware, and office equipment support. Assist in data collection, analysis, and report preparation. Support the development and monitoring of digital content for the Centre's platforms, including social media and newsletters, and assist with creating visually compelling multimedia content using graphic design and video editing software. Assist with asset management and perform routine IT troubleshooting.
Work Experience
A minimum of three years of experience in general administrative office support is required. This is reduced to one year for candidates with a first-level university degree. Desirable experience includes logistical support for events, using ERP systems (e.g., Umoja), creating digital content, and working with UN or similar international organizations.
