Organizational Context
This position is within the United Nations Peacekeeping Force in Cyprus (UNFICYP) in Nicosia. The Administrative Assistant will report to the Senior Adviser or their designate, supporting the operational and administrative functions of the office.
Job Purpose
The Administrative Assistant is responsible for performing a wide range of administrative duties to support the Office of the Force Commander. This includes coordinating human resources activities such as recruitment and performance appraisals, managing budget and financial transactions, and providing general administrative support. The role involves liaising with various departments, managing schedules for senior officials, drafting correspondence, and resolving administrative issues. The incumbent ensures consistency with UN rules and procedures, supports budget development and monitoring, and assists in the preparation of reports. This position is crucial for the efficient functioning of the office and supports senior leadership in achieving mission objectives.
Responsibilities
Manage human resources activities including recruitment, placement, performance appraisals, and staff training, ensuring adherence to UN rules and procedures. Maintain HR records and advise staff on conditions of service, entitlements, and visa matters. Coordinate the induction of new staff. Provide expert assistance in the preparation and monitoring of the office's work plan and budget, including expenditure tracking and resource reallocation. Review requisitions for fund availability and ensure system updates. Coordinate the schedules and calendars of senior officials, managing meetings, appointments, and travel. Draft official correspondence and review briefing materials. Coordinate requests across UNFICYP sections and liaise with service units. Provide guidance and supervision to other staff. Assist in drafting agreements and resolve administrative issues. Perform other related duties such as managing travel programs, vendor payments, and office space planning.
Work Experience
Requires at least eight years of progressive experience in administration, finance, accounting, or human resources within the UN system or private sector. Essential experience includes directly supporting senior officials at ASG level and supporting mission evaluation work. Experience in international operations in post-conflict environments and with ERP systems like Umoja is desirable.
