Organizational Context
The UN Secretariat's reform aims to enhance the UN Development System's effectiveness in achieving the 2030 Agenda and SDGs. The UN Resident Coordinator Offices (UN RCO), led by empowered Resident Coordinators, support countries in development priorities. This role is within the UN RCO in Abuja, Nigeria, supporting the Resident Coordinator.
Job Purpose
The Executive Assistant ensures the efficient functioning of the Resident Coordinator's (RC) Front Office in Abuja, Nigeria. This involves comprehensive management of the RC's schedule, logistical requirements, and protocol procedures. The role is crucial for maintaining effective information flow and ensuring follow-up on deadlines and commitments. The position supports the UN's reform efforts by facilitating the RC's work in assisting the country with development priorities and SDG attainment. The Executive Assistant acts as a key support to the RC, contributing to the overall operational effectiveness of the UN Resident Coordination Office.
Responsibilities
Manage the Resident Coordinator's calendar, schedule appointments, and arrange meetings, providing protocol coverage and logistical support for events. Coordinate and prepare high-quality briefing materials for the RC's engagements, ensuring all correspondence and documents adhere to UN standards. Draft official correspondence, minutes, and Note Verbales, and provide translation services. Oversee the RC's travel arrangements, including preparing requests, bookings, and follow-ups on trip reports. Maintain contact lists for high-level partners and assist in organizing official events and visits. Support the RCO team in preparing process templates and checklists. Maintain the office filing system, screen calls and correspondence, and coordinate the RC's driver. Facilitate communication for coordination meetings, including UNCT meetings, and provide administrative support for official UN events. Follow up on deadlines, commitments, and report submissions. Provide general administrative support, potentially acting as an alternate to the Administrative Assistant, assisting with data analysis, report preparation, and updating information materials.
Work Experience
A minimum of seven years of progressive experience in administrative services, finance, accounting, audit, or human resources is required. This is reduced to five years for candidates with a first-level university degree. Experience in front office management, providing executive support within the UN system or international organizations, and data analytics is desirable.
