Organizational Context
The United Nations Office at Nairobi (UNON) serves as the UN headquarters in Africa, supporting the implementation of UNEP, UN-Habitat, and the Resident Coordination System globally. It provides essential administrative, security, conference, and information services. This Publishing Assistant role is situated within the Publishing Services Section of the Division of Conference Services at the Nairobi duty station.
Job Purpose
The Publishing Assistant will operate and maintain digital printing and finishing equipment according to Standard Operating Procedures (SOPs) and environmental guidelines. This role involves receiving jobs in various formats, ensuring clear communication with team leads for job understanding, and performing operator-level maintenance on equipment. The incumbent will also manage inventory, assist junior staff, and potentially rotate shifts, including on-call and overtime duties. Additionally, the role supports data collection, analysis, and reporting for information sharing and decision-making processes within the Publishing Services Section.
Responsibilities
Operate and maintain digital printing and finishing equipment in compliance with SOPs and environmental guidelines. Receive and process job files in various formats, ensuring clear understanding of requirements through liaison with team leads. Perform operator-level maintenance on equipment as per manufacturer specifications. Monitor and manage inventory of supplies, including ordering and stocking. Assist in training and guiding junior staff. Participate in shift rotations, including weekend on-call duties and overtime as required. Support data collection, analysis, and report preparation for information sharing and decision-making. Maintain a clean and organized work area, and report equipment issues to supervisors.
Work Experience
A minimum of five years of progressively responsible experience in pre-press and digital printing is required. Experience with digital booklet finishing units, digital paper cutters, die cutting equipment, and thermal wide format laminators is essential. Experience with large format printers is desirable.
