This role is within the Common Administrative Platform (One Executive Office) at UN Headquarters, part of the Department of Operational Support. One EO consolidates administrative functions for New York-based Secretariat entities, providing comprehensive HR, financial, travel, and administrative services. The position is specifically within the Specialized Staff Administration Desk.
Job Purpose
The Human Resources Assistant supports the Specialized Staff Administration Desk within the One Executive Office at UN Headquarters. This role is crucial for the efficient delivery of administrative and operational services, particularly in human resources management, to Secretariat client entities. The incumbent will assist in recruitment, onboarding, benefits administration, and general HR support, ensuring compliance with UN regulations and procedures. By managing HR processes and systems, the assistant contributes to the effective functioning of client entities and supports the UN's reform initiatives aimed at streamlining administrative operations. The role involves direct interaction with staff, candidates, and various stakeholders to facilitate smooth HR operations.
Responsibilities
The Human Resources Assistant is responsible for supporting recruitment and classification activities, including assisting with staff onboarding via the Talent Management System (TMS) and coordinating onboarding steps like visa arrangements and travel. This includes initiating reference checks, preparing appointment offers, and processing personnel actions in Umoja. The role also involves managing benefits and entitlements by processing actions in Umoja, handling claims, updating reference data, and responding to staff queries on HR matters. General duties include maintaining HR systems and databases, preparing reports, conducting exit interviews, performing research, providing general office support, and potentially training junior staff. The assistant ensures accuracy and compliance with established rules and procedures throughout all HR processes.
Work Experience
A minimum of seven years of progressive experience in human resources management or administrative services is required. This is reduced to five years for candidates with a first-level university degree. Experience with UN common system HR policies and using ERP systems like SAP (Umoja) for benefits administration is desirable.
