Organizational Context
This role is situated within the United Nations Office for Sustainable Development (UNOSD) in Incheon, Republic of Korea, a project office of the Division for Sustainable Development Goals (DSDG) under UN DESA. DSDG provides crucial support for the Sustainable Development Goals (SDGs), focusing on thematic areas like water, energy, and climate, and plays a key role in UN-wide implementation of the 2030 Agenda.
Job Purpose
The Team Assistant provides essential office support and administrative functions under the guidance of the Senior Sustainable Development Officer at UNOSD. This role involves managing routine communications, producing complex documents, and monitoring project-related processes to ensure compliance. The position contributes to the smooth operation of UNOSD by supporting project planning, coordinating meetings and events, maintaining records, and assisting with website updates and presentation materials. The Team Assistant is integral to the effective functioning of the office and its support for the Sustainable Development Goals.
Responsibilities
The Team Assistant performs a broad range of administrative and office support duties. Key responsibilities include drafting correspondence, producing complex documents, and verifying the accuracy of required documentation for compliance. The role involves researching and organizing information for reports and meetings, generating statistical reports, and proofreading/editing texts. The Team Assistant supports project planning and coordination, assists in preparing project documents, and screens inquiries. They provide secretarial, administrative, and logistical support for meetings and events, liaise with partners, and assist with website maintenance and presentation material preparation. Additionally, the role includes managing calendars, processing mail, maintaining distribution lists, coordinating shipments, and performing general administrative tasks such as leave recording and processing administrative requests.
Work Experience
A minimum of three years of experience in general office support or a related field is required. Specific experience in secretarial, administrative, and logistics support for international meetings and events, including travel and visa arrangements, is also necessary. Proficiency in Microsoft Office (Word, Excel, PowerPoint) is essential. Experience with integrated information management systems and web maintenance is desirable.
