The United Nations Environment Programme (UNEP) is the leading global environmental authority within the UN system. The Ecosystems Division works with partners to conserve, restore, and sustainably manage ecosystems and biodiversity. This internship is within the Director's Office of the Ecosystems Division in Nairobi.
Job Purpose
This internship within the Director's Office of UNEP's Ecosystems Division in Nairobi aims to support the front office operations. The intern will assist in reorganizing and optimizing digital filing systems, including SharePoint and OneDrive, ensuring proper document management, tagging, version control, and archiving according to UNEP/UN standards. The role also involves supporting staff with Microsoft 365 applications, preparing meeting documentation, assisting with meeting logistics, and maintaining contact lists. The internship provides an opportunity to gain practical experience in information management and administrative support within a leading environmental organization, contributing to the efficient functioning of the division's leadership.
Responsibilities
Support the reorganization and optimization of front office SharePoint/OneDrive filing structures. Assist in document tagging, version management, naming conventions, and archiving in line with UNEP/UN standards. Facilitate the migration of documents to new, structured digital repositories. Provide troubleshooting and support to staff on the effective use of Teams, SharePoint, Planner, and other M365 applications. Assist in the preparation of presentations, visuals, and documentation for the Director’s internal meetings. Support the logistics and setup of meetings. Maintain updated contact lists for the Director’s Office. Participate in training and learning opportunities provided to interns.
Work Experience
No professional work experience is required for this internship. However, a field of study closely related to information management or IT is necessary. Experience in communication, digital content, or multimedia work is beneficial.
Skills
Information Technology skills, Microsoft Office proficiency (including Microsoft Power Platform), document management, SharePoint, OneDrive, Microsoft Teams, communication, interpersonal skills, ability to interact with diverse individuals, keen interest in UN work.
