Organizational Context
The United Nations Environment Programme (UNEP) provides administrative functions for the Convention on the Conservation of Migratory Species of Wild Animals (CMS) and related agreements. The CMS Secretariat, located in Bonn, Germany, supports these global and regional conservation efforts. This Programme Management Assistant role sits within the CMS Secretariat, reporting to the Legal Officer and Head of Conference Services.
Job Purpose
The Programme Management Assistant supports the coordination of CMS projects and programmes, ensuring efficient planning, preparation, and implementation. This involves managing project documentation, processing grants and agreements, and liaising with units for administrative actions like recruitment, travel, and payments. The role also plays a key part in organizing and facilitating CMS Secretariat meetings, including logistical arrangements, registration, and document preparation. Additionally, the assistant provides general office support, manages correspondence, maintains records, and assists with data collection, analysis, and presentation to support informed decision-making and knowledge management within the Secretariat.
Responsibilities
Assists in coordinating CMS projects and programmes by supporting planning, monitoring proposals, and processing grants and partner information. Reviews project documents, budgets, and agreements for compliance, and acts as a liaison for administrative actions including personnel, travel, payments, and procurement up to $10,000 USD. Compiles project data, drafts status reports, and identifies budget or delivery issues. Supports the planning, organization, and logistics of Secretariat meetings, managing travel, registration, and document preparation. Provides general office support by handling correspondence, maintaining records and databases, and preparing reports and summaries. Contributes to data responsibilities by assisting with data collection, analysis, visualization, and updating information materials.
Work Experience
A minimum of five years of experience in programme/project coordination or general administration is required (three years with a university degree). Experience with an ERP system like SAP is mandatory. Experience in multilateral environmental agreement secretariats, the UN common system, organizing meetings, and data analytics is desirable.
