SENIOR STAFF ASSISTANT
Organizational Context
This position is within the Office of the Special Representative of the Secretary-General (SRSG) at the United Nations Mission Integrated Office in Haiti (BINUH), based in Port-au-Prince. The incumbent reports directly to the SRSG, playing a key role in supporting the mission's leadership and operational efficiency.
Job Purpose
The Senior Staff Assistant is responsible for managing the SRSG's complex schedule, correspondence, and communications, ensuring accuracy and timeliness. This role involves serving as a critical liaison between the SRSG and various UN entities, coordinating official travel, and providing essential administrative support. The position contributes significantly to the overall efficiency and effectiveness of the SRSG's Office by maintaining organized workflows and ensuring the secure handling of sensitive information, thereby facilitating the SRSG's mandate and daily operations.
Responsibilities
Key duties include managing the SRSG's calendar, appointments, and engagements with high-level officials. The role involves screening, prioritizing, and managing all incoming and outgoing correspondence, including confidential materials. Drafting, formatting, and editing documents for the SRSG, ensuring accuracy and timeliness, is crucial. The Senior Staff Assistant will follow up on meeting decisions and action points, and act as a liaison for administrative matters between the SRSG's office, mission components, UN Headquarters, and other UN agencies. Additionally, the position is responsible for coordinating the SRSG's official travel logistics and providing administrative support for attendance, leave, travel claims, and requisitions. Maintaining proper record-keeping and secure handling of sensitive information is also a core responsibility.
Work Experience
A minimum of eight years of progressive experience is required, specifically working for a high-ranking UN Official and in UN field operations. Experience in post-conflict settings and providing personal assistance/administrative support in a senior management front office is also required. Experience in the Latin America and Caribbean region is desirable.
Skills
Professionalism, tact, discretion, excellent interpersonal skills, initiative, good judgment, teamwork, planning, and organizing are essential competencies for this role. Proficiency in English is required, with French and Spanish being desirable.
