Job Purpose
The Senior Contributions Officer is responsible for planning, developing, and managing the Contributions team's operations. This includes maintaining accurate records and data analytics on agency-wide donor contributions from various sources. The role involves overseeing the preparation of tailored reports and contribution data for internal and external stakeholders, supporting outreach efforts, and providing inputs for governing bodies. The officer also manages contribution data for resource mobilization strategies, ensures accurate recording and reconciliation with the Finance Department, and oversees donor funding reports and cash inflows. Additionally, the role involves managing month-end and year-end closure activities, providing agency-wide guidance on contributions, and contributing to work plan development and performance evaluation tools. The incumbent reviews financial processes, Grant Module/REACH, and participates in system improvements. They also respond to ad-hoc queries from donors, liaise with relevant staff for information, and support ERCD staff in meetings. The role ensures contributions are recorded per donor requirements, monitors pledges and receivables, and manages the Financial Tracking Service (FTS) submissions. Finally, the officer acts as the ERCD focal point for audit requests.
Responsibilities
Manage the Contributions team's operations, including record maintenance and data analytics for all donor contributions. Oversee the creation of reports and data for internal and external audiences, such as the Emergency Appeals Report, Annual Operation Report, and Financial Statements. Prepare contribution data to support outreach efforts and provide information for governing bodies, including historical data, trends, and comparative statistics. Ensure contribution statistics are up-to-date for resource mobilization strategies and mid-term strategies. Collaborate with the Finance Department for accurate recording and reconciliation of contributions. Certify the accuracy of donor contribution records and oversee donor funding reports, including cash inflows. Manage month-end and year-end closure activities for contributions. Provide agency-wide guidance and recommendations on contributions to relevant departments and field offices. Advise on and recommend corrective actions for recording discrepancies. Participate in the development of the ERCD work plan and performance evaluation tools. Review and coordinate amendments to financial reports and instructions related to ERP processes. Oversee the Grant Module/REACH and contribute to system improvements. Respond to donor queries regarding contributions, receipts, and statistics. Request necessary information from various offices to maintain accurate records. Support ERCD staff in meetings with donors and participate as required. Ensure contributions are recorded according to donor requirements and monitor contribution receivables. Manage submissions to OCHA/FTS and ensure accuracy of reported figures. Act as the ERCD focal point for internal and external audit requests.
Work Experience
A minimum of seven years of progressively responsible experience in finance, budget, bookkeeping, or accountancy is required, with at least three years at a senior level. Experience with database packages, data analysis, reporting, and spreadsheet applications is essential. Proficiency in ERP systems, MS-Access, Excel, and Word is required. Prior experience with a UN organization, NGO, or donor government is desirable.
