Organizational Context
The United Nations Support Office in Haiti (UNSOH) provides support to key Haitian entities and international partners, including the Gang Suppression Force, BINUH, HNP, and OAS. This temporary position is within the Engineering Section in Port-au-Prince, reporting to the Chief Engineer, and is crucial for the operational effectiveness of UNSOH's support mandate.
Job Purpose
The Facilities Management Assistant is responsible for overseeing and coordinating day-to-day facilities management and maintenance services across mission premises, accommodation areas, camps, offices, and support facilities. This includes managing maintenance, renovations, repairs, upgrades, and minor engineering works, ensuring efficient space utilization, and supervising both in-house teams and outsourced contractors. The role is vital for maintaining operational infrastructure and supporting mission clients and stakeholders, ensuring the timely and quality delivery of essential facilities services in a complex field environment.
Responsibilities
Supervise and coordinate all facilities management and maintenance activities, including contractor management, service delivery, and follow-up. Manage daily services for mission premises, accommodation, camps, and offices, encompassing maintenance, renovations, repairs, upgrades, cleaning, pest control, and groundskeeping. Support the planning and execution of repair, maintenance, and minor engineering works for various buildings and sites. Liaise with other engineering and technical teams to resolve facilities-related issues. Prepare recommendations for efficient space utilization and manage office/accommodation space. Supervise in-house maintenance teams and outsourced contractors, assigning workloads and monitoring performance. Review and approve work orders, interpret technical documents, and inspect work quality. Monitor contractor performance, address defects, and ensure coordination with mission clients and stakeholders. Assist in cost estimations, resource identification, and technical evaluation of bids. Prepare certifications for completed services and performance reports for contractors and staff. Manage requisitions for materials and supplies, issue site instructions, and maintain comprehensive records of all facilities management activities.
Work Experience
Requires at least eight years of progressive experience in facilities management, building maintenance, or related fields, including two years of supervisory experience. Experience in planning/supervising minor engineering works, managing outsourced contractors, and working in international field operations is essential. Experience in contract management, camp/accommodation support, and ERP systems is desirable.
