Organizational Context
The United Nations Support Office in Haiti (UNSOH) provides support to various entities including the Gang Suppression Force (GSF), the UN Integrated Office in Haiti (BINUH), Haitian National Police, and Haitian Armed Forces. UNSOH also offers technical assistance to the Organization of American States (OAS). This Staff Assistant position is based in Port-au-Prince and reports to the Chief Medical Officer.
Job Purpose
The Staff Assistant provides comprehensive office management and administrative support, directly assisting the Chief Medical Officer (CMO) of UNSOH's Medical Services Section (MSS). This role involves liaising with senior officials on program and administrative matters, monitoring health-related operations, and coordinating technical and logistical support with various UN entities and external health authorities. The position ensures efficient information flow, manages confidential data, and supports the development of administrative procedures for medical operations. The Staff Assistant also assists in preparing reports, coordinating events, orienting new staff, and performing a wide range of administrative duties to ensure the effective functioning of the Medical Services Section and its health services delivery.
Responsibilities
The Staff Assistant performs full office management and administrative support functions, directly assisting the Chief Medical Officer (CMO) within the Medical Services Section (MSS). Key duties include liaising with senior mission leadership on program and administrative matters, monitoring processes for health-related operations, and supporting technical coordination with UN headquarters and external health authorities. The role involves coordinating communication and logistics for health services delivery, managing confidential information, and developing administrative systems for medical operations. Responsibilities also encompass researching and compiling background materials for reports, assisting in the coordination of service-wide activities and special projects, orienting new staff, and preparing meeting minutes. Additionally, the Staff Assistant drafts correspondence, produces complex documents and reports, manages databases, generates statistical reports, performs quality control on outgoing documents, responds to information requests, maintains calendars, and handles various administrative tasks such as travel arrangements and expense claims.
Work Experience
A minimum of five years of general office support experience is required. This requirement is reduced to three years for candidates with a university degree. Experience supporting a senior official and experience within the UN Common System or a similar international organization are desirable.
