Job Purpose
The Transport Assistant is responsible for specialized activities that ensure the efficient operation of the UN's transportation and vehicle fleet, adhering strictly to UN Rules and Regulations and the Surface Transport Manual. This role involves managing and coordinating a wide range of maintenance and repair services across multiple workshops and locations. Key contributions include ensuring timely execution of scheduled maintenance, monitoring repair quality, processing damage reports, and maintaining comprehensive fleet records. The position also plays a crucial role in fleet performance tracking, compliance oversight, and supporting road safety initiatives, ultimately contributing to the operational readiness and effectiveness of the mission's transport services.
Responsibilities
Manage and coordinate preventive maintenance, corrective repairs, bodywork, painting, and specialized servicing for the UN fleet across various contracted workshops and locations. Issue and track Service Request Orders, ensuring timely execution of scheduled maintenance activities according to contractual provisions. Monitor the quality and compliance of mechanical, electrical, and body repairs performed by vendors against UN standards. Prepare, verify, and process Damage Discrepancy Reports (DDR) for all vehicle-related incidents, ensuring accuracy and alignment with financial and audit requirements. Conduct preliminary damage assessments and liaise with maintenance contractors for cost estimates. Monitor and follow up on DDR cases to minimize vehicle downtime and maintain fleet operational readiness. Perform Electronic Vehicle Monitoring (EVM) functions, supporting fleet performance tracking, utilization monitoring, and compliance oversight. Maintain accurate records of maintenance activities, service history, insurance, inspections, and related transactions. Ensure the validity and timely renewal of vehicle insurance, techno-mechanical inspections, and other mandatory compliance documentation. Coordinate accident follow-up actions, including insurance processing, repair coordination, and vehicle recovery. Monitor vendor contractual performance and verify maintenance-related invoices. Support the implementation of road safety awareness initiatives and provide technical support for driver testing processes.
Work Experience
A minimum of five years of progressively responsible experience in transport operations or fleet management is required. Experience in fleet maintenance, road safety awareness activities, and managing Electronic Vehicle Monitoring Systems (EVMS) is desirable. A valid driving license with a safe driving record is mandatory. Experience conducting driving tests and examinations as an instructor is also desirable.
