Accounting Assistant (Temporary)
Organizational Context
This position is within the Accounts Section of the Financial Resources Management Service at the United Nations Office at Vienna (UNOV). The Accounting Assistant reports directly to an Accountant or a more senior Accounting Assistant, contributing to the financial operations of the organization.
Job Purpose
The Accounting Assistant plays a crucial role in supporting the Accounts Section by performing a variety of accounting and financial tasks. This includes reconciling transactions, examining and recording financial data, and processing payments and staff entitlements. The role involves assisting with documentation preparation, data collection, analysis, and reporting to facilitate informed decision-making and knowledge management. The position also contributes to maintaining accurate financial records and ensuring compliance with organizational rules and procedures, supporting the overall financial integrity of the UN Secretariat.
Responsibilities
Key duties include reconciling accounting transactions and examining/recording financial transactions for Information Centres. The role involves reviewing bank statements for accuracy, identifying discrepancies, and escalating issues. The Accounting Assistant will assist in processing payments, settling staff entitlements, and ensuring the correctness of personnel action forms. Responsibilities also extend to processing payment vouchers for goods and services, and travel claims in accordance with established rules. Furthermore, the position supports the preparation of documentation for distribution, assists in data collection, analysis, and report preparation for information sharing, and helps with visualizations and updating information materials.
Work Experience
A minimum of three years of relevant experience in accounting or finance is required. This minimum is reduced to one year for candidates with a first-level university degree or higher. Proficiency in Microsoft Office Excel and Word is necessary. Experience with ERP applications, particularly SAP, is desirable.
