The United Nations Environment Programme (UNEP) is the leading global environmental authority, setting the environmental agenda and promoting sustainable development within the UN system. Its Regional Office for Africa implements UNEP's global programmes in the region, fostering cooperation and action on environmental challenges. This role supports the Head of the West Africa Sub-Regional Office in Abidjan.
Job Purpose
The Programme Management Assistant supports the coordination and administration of UNEP's programme and project initiatives within the West Africa Sub-Regional Office. This involves assisting in planning, monitoring project proposals, and ensuring compliance with administrative procedures. The role facilitates effective programme implementation by liaising with various units to manage administrative actions such as personnel recruitment, travel, payments, and procurement. Additionally, the incumbent compiles data, prepares reports, and provides general office support, contributing to efficient operations and informed decision-making for environmental programmes in the region.
Responsibilities
Assists in coordinating programme and project planning and preparation for complex initiatives, monitoring proposals and documentation. Compiles, summarizes, and presents data on specific programmes and issues. Reviews project documents, cost plans, and budgets for compliance, identifying inconsistencies. Verifies fund availability for budget revisions and ensures system entry. Acts as a focal point for administrative coordination, liaising with diverse units for personnel actions, travel, training, payments, and procurement. Compiles project delivery data, drafts status reports, and highlights delivery shortfalls or budget overruns. Drafts budget-related correspondence and prepares periodic reports, briefing notes, and statistical summaries. Provides general office assistance, handles inquiries, manages correspondence and files, and organizes meetings. Assists in data collection, analysis, and preparation of presentations for information sharing and decision-making. Supports the creation of visualizations and updates information materials. Provides guidance to junior staff and performs other assigned duties.
Work Experience
A minimum of five years of experience in programme or project administration, technical cooperation, or a related area is required. This is reduced to three years with a first-level university degree. Experience within the UN system or similar international organizations, ERP systems, and data analytics is desirable.
