This position is situated within the Office of the Director of Mission Support at the United Nations Support Office in Haiti (UNSOH) in Port-au-Prince. The Associate Protocol Officer, at the NO-B level, reports directly to the Director of Mission Support or their designated representative, playing a key role in mission operations.
Job Purpose
The Associate Protocol Officer's primary purpose is to provide essential support to the Director of Mission Support and senior mission staff in managing protocol-related activities. This involves facilitating high-level meetings between mission officials and local authorities, liaising with the host government and diplomatic community, and coordinating arrangements for official events and VIP travel. The role contributes to the smooth functioning of the mission by ensuring effective communication, adherence to local customs and laws, and efficient logistical support for key personnel and activities, thereby upholding the mission's operational efficiency and diplomatic relations.
Responsibilities
The Associate Protocol Officer is responsible for arranging meetings between mission officials and local authorities, and liaising with the host government, diplomatic community, and other UN agencies. This includes managing communication with the State Protocol for official events and ceremonies, and assisting with the travel arrangements for senior staff, such as VIP lounge access, immigration, and visas. The role involves pre-identifying and preparing venues for activities and meetings, and ensuring appropriate seating arrangements for hosted events. Additionally, the officer maintains updated contact lists for government officials and diplomatic missions, cooperates with administrative sections like Transport and Aviation, and educates staff on local laws, customs, and traffic rules. The position also supports obtaining flight clearances, drafting event-related documents, and coordinating with local authorities during medical emergencies.
Work Experience
A minimum of two years of progressively responsible experience in a similar or related role is required. Experience within the private sector or non-governmental organizations is considered an advantage.
