COMMUNICATIONS ASSISTANT (Two positions)
Organizational Context
The United Nations Economic Commission for Africa (UNECA) in Addis Ababa, Ethiopia, aims to drive ideas and actions for an empowered and transformed Africa, aligning with the 2030 SDGs and Agenda 2063. These positions are within the Publications & Conference Management Section (PCMS) of the Administration and Conference Management Division (ACMD), contributing to ECA's strategic goals.
Job Purpose
This role supports the Publications & Conference Management Section (PCMS) within UNECA. The primary purpose is to manage and coordinate guided tour operations, ensuring a high-standard visitor experience. This involves scheduling, logistics management, acting as a central point of contact for diverse visitors including VIPs, and resolving inquiries tactfully to uphold the institution's image. The position also involves monitoring guide performance, overseeing special assignments, collecting visitor feedback for marketing collaboration, managing visitor interface systems, liaising with internal departments for safety and efficiency, and assisting with data analysis and information material updates to support the Visitors Centre's evolving needs.
Responsibilities
Direct the end-to-end flow of guided tour operations, including scheduling, daily logistics, and real-time adjustments for workload balance and seamless visitor transitions. Provide operational guidelines, address interpersonal issues, and conduct daily briefings to ensure consistent information and professional standards. Serve as the primary contact for all visitor types, managing complex inquiries and resolving grievances to protect the institution's brand image. Monitor guide performance and enforce adherence to organizational rules and ethics to ensure a high-standard visitor experience. Oversee high-priority assignments like VIP visits and special tours, coordinating schedules, preparing materials, and monitoring operations for smooth execution. Support visitor feedback collection for marketing improvements and collaborate on institutional outreach. Manage digital and manual visitor interface systems and specialized tour equipment. Act as a liaison with IT, FMS, and security teams for site safety and efficiency, driving quality control initiatives. Assist with data collection, analysis, presentation preparation, and updating information materials like web pages or brochures.
Work Experience
A minimum of seven years of experience in tour guide coordination, communication, journalism, public information, marketing, tourism, hospitality, or a related field is required. This requirement is reduced to five years for candidates with a first-level university degree or higher. Experience in data analytics is desirable.
