Organizational Context

Job Purpose
The Senior Supply Assistant is responsible for the administration and daily operations of the Shipping Unit, reporting to the Chief of Supply Chain Management Section. This role involves planning, coordinating, and supervising all aspects of importing and exporting organizational and personal shipments for ECA staff. Key functions include advising on shipping, insurance, and customs regulations, managing the ERP-SAP Logistics module, and ensuring efficient processing of all cargo. The position plays a crucial part in facilitating the smooth logistical operations of the Commission, supporting its mission by ensuring timely and compliant movement of goods and materials.
Responsibilities
Manage and oversee the daily operations of the Shipping Unit, including planning and assigning tasks to staff. Coordinate the duty-free importation, exportation, and insurance of official goods, vehicles, and personal effects for ECA staff, ensuring compliance with regulations. Prepare and manage correspondence with government ministries and agencies, and supervise the preparation of tender documents. Monitor and report on the unit's activities, prepare budget estimates, and verify financial transactions. Process organizational and personal shipments, ensuring all necessary documentation and permits are in place for clearance and export. Advise staff on customs, shipping, and insurance matters, and facilitate insurance claims. Ensure timely clearance of inbound goods and safe, economical dispatch of outbound shipments, liaising with carriers and freight forwarders. Provide training to unit staff and assist with data analysis and reporting.
Work Experience
A minimum of 10 years of progressive experience in Supply Management, Customs, Insurance, or Logistical Support, including customs clearance and delivery of goods via air, land, and sea transport, is required. Experience in the private sector in a comparable institution is desirable.
Skills
Professionalism in supply management, logistics, and transport operations; knowledge of INCOTERMS 2010 and RIR process; ability to maintain records and prepare reports; knowledge of UN financial rules and regulations; analytical and data interpretation skills; Teamwork and collaboration; Planning and organizing skills; proficiency in ERP-SAP Logistics module.
