The Economic Commission for Latin America and the Caribbean (ECLAC), a regional commission of the United Nations, aims to contribute to the economic and social development of the region. The Division of Production, Productivity and Management is responsible for designing, monitoring, and evaluating public policies, providing advisory services, and supporting regional cooperation. This Programme Management Assistant role supports the Chief of the Division.
Job Purpose
The Programme Management Assistant will provide crucial support to the Division of Production, Productivity and Management within ECLAC. This role is integral to the effective planning, coordination, and administrative execution of departmental programme and project initiatives. By ensuring compliance with procedures, monitoring budgets, and facilitating administrative actions such as recruitment and procurement, the assistant contributes to the smooth implementation of projects. The position also involves data compilation, reporting, and general office support, enabling management to make informed decisions and maintain operational efficiency. The role is key in supporting the division's mission to foster economic and social development through effective programme delivery.
Responsibilities
The Programme Management Assistant will coordinate programme and project planning, monitoring proposals and documentation for approval. Responsibilities include compiling and presenting programme data, reviewing project documents for compliance, and identifying inconsistencies. The role involves supporting management in coordinating the division's agenda to prevent activity overlaps. Key duties include reviewing budget revisions, verifying fund availability, and ensuring proper system entry. The assistant will act as a focal point for administrative coordination, liaising with various units for recruitment, travel, payments, and procurement. They will compile project delivery data, draft status reports, and assist with data analysis and presentation for knowledge management and decision-making. Additional tasks include updating information materials, drafting budget-related correspondence, and providing general office assistance, including organizing meetings and training junior staff.
Work Experience
A minimum of five years of experience in programme or project administration, technical cooperation, or a related field is required. This minimum is reduced to three years for candidates with a first-level university degree or higher. Five years of experience in conference and meeting organization/planning is also required. Experience in an international development organization, data analytics, and familiarity with ERP systems like SAP are desirable.
