Organizational Context
The United Nations Human Settlements Programme (UN-Habitat) promotes socially and environmentally sustainable towns and cities, acting as the UN system's focal point for urbanization matters. This internship is based in the UN-Habitat Mesoamerica office in Mexico City, supporting the Subregional Office for Mexico, Cuba, and Central America.
Job Purpose
This internship aims to support multiple administrative sections within the UN-Habitat Mesoamerica office, contributing to the smooth day-to-day functioning of operations. The intern will gain practical experience in various administrative tasks, assisting with human resources onboarding, financial document management, procurement processes, asset control, logistics for events, and protocol-related activities. This role provides an opportunity to learn about the administrative intricacies of a UN program focused on sustainable urbanization and to contribute to the office's efficiency and effectiveness.
Responsibilities
Provide general administrative support across various operational areas. Assist Human Resources with onboarding activities and documentation review for affiliated personnel. Support the filing of financial documents and track administrative transactions to ensure record completeness. Aid in preparing procurement comparative charts, coordinating with vendors, and monitoring procurement processes. Assist with office asset management, including coordinating maintenance and service requests. Provide logistical support for conferences and events. Support protocol-related activities, such as coordinating with the Ministry of Foreign Affairs. Assist in organizing meetings and official activities. Maintain organized electronic and physical filing systems. Prepare draft reports, presentations, and official correspondence as needed. Perform other assigned administrative tasks.
Work Experience
No professional work experience is required for this internship. However, a field of study closely related to the internship is necessary. Knowledge of administration processes and project implementation is considered desirable.
Skills
Proficiency in standard software applications, particularly MS Word, MS PowerPoint, MS Excel, SharePoint, Canva, and MS Teams. Demonstrated keen interest in the UN's work and commitment to its ideals. Ability to interact successfully with individuals from diverse cultural backgrounds. Fluency in oral and written Spanish. Knowledge of English is desirable.
