Organizational Context
This position is situated within the Regional Office for Central Asia (ROCA) of the United Nations Office on Drugs and Crime (UNODC) in Tashkent, Uzbekistan. The Administrative Assistant reports to the Regional Representative for Central Asia and is directly supervised by the Procurement Officer, supporting the Division for Operations.
Job Purpose
The Administrative Assistant plays a crucial role in supporting the operational efficiency of the UNODC Regional Office for Central Asia. This position is responsible for a wide range of administrative and contract management tasks, ensuring smooth day-to-day operations. The incumbent will handle general administration, including drafting correspondence, coordinating travel arrangements, managing protocol matters for international staff and visitors, and overseeing vehicle fleet logistics. Additionally, the role involves supporting contract administration, processing payments, and assisting with procurement activities through the Umoja system, contributing to the effective delivery of UNODC's mandate in the region.
Responsibilities
The Administrative Assistant is responsible for a broad spectrum of administrative duties. This includes drafting routine correspondence, coordinating with internal service units, and managing travel requests and arrangements in compliance with UN policies. The role involves providing expert advice on travel procedures, reviewing travel invoices, and reconciling payments. The incumbent will also assist in data collection, analysis, and report preparation, and may supervise junior staff. Key responsibilities include managing protocol matters such as visa and accreditation processes, coordinating vehicle fleet operations, and preparing monthly service reports. Furthermore, the position supports contract administration by overseeing outsourced services, auditing invoices, and processing payments. Procurement support includes collecting quotations, preparing purchase orders, and recording service entry sheets within the Umoja system.
Work Experience
A minimum of five years of relevant administrative experience is required. This is reduced to three years for candidates with a first-level university degree. Experience with an Enterprise Resource Planning (ERP) system is mandatory. Experience in data analytics, SAP/Umoja, advanced Microsoft Office, databases, or within the UN system is desirable.
