Organizational Context
The United Nations Office for Digital and Emerging Technologies (UNODET), established in January 2025, advises senior leadership on technology trends, advocates for digital cooperation, facilitates policy dialogue, strengthens system-wide coordination, and supports the Global Digital Compact. It operates under the Under-Secretary-General and Special Envoy for Digital and Emerging Technologies, driving the Secretary-General's vision for digital cooperation.
Job Purpose
The Senior Administrative Assistant will provide comprehensive administrative and substantive support to the Under Secretary General and the Office of the Secretary-General’s Envoy on Technology. This role is crucial for managing the high-level calendar, prioritizing correspondence, and coordinating complex activities to ensure efficient workflow and decision-making. The incumbent will facilitate communication between the USG and senior staff, manage travel arrangements, and handle a wide array of administrative processes, ensuring the smooth operation of the office and supporting the UN's strategic approach to digital cooperation and emerging technologies.
Responsibilities
Manage the Under Secretary General's calendar, including high-level meetings with international dignitaries and officials. Screen, prioritize, and distribute incoming and outgoing correspondence, maintaining relevant files. Administer the USG's travel program, preparing necessary documentation for business trips. Provide substantive and administrative support for office operations, managing priorities and workflow. Coordinate diverse activities and work processes to ensure effective implementation of directives and decisions. Handle a broad range of administrative tasks, including leave requests, attendance, travel arrangements, visa applications, expense statements, and procurement requisitions. Act as a key communication link between the supervisor and senior staff, ensuring timely dissemination of information and flagging urgent matters.
Work Experience
A minimum of 10 years of progressively responsible experience in administrative services or a related field is required. Previous experience in a front-office environment supporting senior management within an international organization is essential. At least 5 years of experience with UN administrative processes (e.g., Umoja ERP) and 1 year supporting evaluation functions are mandatory.
